Refund, Cancellation, and Rescheduling Policy
CannaHealrx provides access to independent licensed healthcare providers who conduct medical cannabis evaluations. Payment covers the professional evaluation and related administrative services—not a guaranteed approval, certification, medical cannabis card, state registration, or purchase of cannabis products.
By scheduling an appointment and submitting payment, you acknowledge and agree to this Refund, Cancellation, and Rescheduling Policy.
Refund Eligibility
A patient may receive a refund only when:
1. The patient cancels the appointment before the healthcare provider completes the clinical evaluation; or
2. The patient completes the evaluation but the healthcare provider determines, using independent clinical judgment, that the patient does not medically qualify for certification or approval.
Once the patient has been clinically evaluated and approved, the service has been completed and the payment is non-refundable.
No Refund After Evaluation and Approval
Refunds are not available after a healthcare provider has completed the evaluation and approved or certified the patient.
This applies regardless of whether the patient:
• Uses the certification;
• Purchases medical cannabis;
• Changes their mind after approval;
• Fails to complete a state registration or application;
• Does not visit a dispensary;
• Does not download or request a copy of the certification;
• Selects the wrong dispensary or later requests a dispensary change;
• Is unable to purchase a preferred product;
• Experiences a delay caused by a state agency, dispensary, pharmacy, or other third party; or
• Later becomes ineligible because of residency, identification, documentation, legal, employment, firearm, or other requirements.
The evaluation fee compensates the provider for professional time, medical review, clinical decision-making, and completion of the evaluation. It does not depend on whether the patient ultimately uses the certification.
Clinical Decisions
All eligibility and certification decisions are made independently by the evaluating healthcare provider. CannaHealrx cannot direct, influence, or guarantee a provider’s clinical decision.
If a provider determines that a patient does not clinically qualify, the patient may request a refund. A request based on non-qualification may be reviewed to confirm that no certification or approval was issued.
Dissatisfaction with a provider’s clinical decision does not automatically create refund eligibility if the patient was approved or certified.
Cancellations
Patients may cancel an appointment and request a refund at any time before the provider completes the clinical evaluation.
An evaluation is considered complete when the provider has conducted the clinical encounter and made an approval, denial, or other clinical determination. A patient may not cancel retroactively after the evaluation has been completed.
Patients are encouraged to cancel as early as possible so the appointment time can be made available to another patient.
Rescheduling
Patients may request to reschedule before the evaluation is completed. Rescheduling is subject to provider availability.
A rescheduled appointment does not create a second evaluation or an additional certification. Repeated cancellations, missed appointments, or rescheduling requests may require the patient to schedule and pay for a new appointment.
Missed Appointments and Patient Unavailability
Patients are responsible for:
• Providing accurate contact information;
• Being available at the scheduled appointment time;
• Answering the provider’s call or joining the required telehealth session;
• Having reliable telephone or internet access; and
• Providing any identification or medical information reasonably required for the evaluation.
If a patient misses the appointment, does not answer the provider’s attempts to make contact, or is unavailable, CannaHealrx may offer rescheduling subject to provider availability. Repeated missed appointments may result in the loss of the appointment fee.
If the provider is unable to complete the appointment and the patient does not wish to reschedule, the patient may request a refund, provided no clinical evaluation or approval was completed.
Late Providers or Service Interruptions
Telehealth appointment times are estimates. Providers may occasionally run late because of clinical or technical circumstances.
If a provider cannot complete the appointment, the patient may accept the next available appointment or request a refund, provided the evaluation has not been completed. A reasonable provider delay does not create refund eligibility after the patient has been evaluated and approved.
Incorrect or Incomplete Patient Information
Patients must provide complete and accurate information, including their legal name, date of birth, contact information, address, identification, qualifying condition, state, and selected dispensary when applicable.
Refunds are not available after evaluation and approval because a patient:
• Submitted incorrect information;
• Failed to disclose relevant information;
• Selected the wrong state, service, appointment type, or dispensary;
• Did not meet identification, residency, age, or documentation requirements; or
• Requested corrections or changes after the certification was completed.
Additional administrative or provider fees may apply when a new evaluation, amended certification, replacement document, dispensary change, or other additional service is required.
State Fees and Third-Party Charges
CannaHealrx does not control fees collected by state agencies, dispensaries, pharmacies, payment processors, or other third parties.
Unless expressly stated otherwise, payments made directly to a state agency or third party are not collected by CannaHealrx and cannot be refunded by CannaHealrx. Patients must contact the organization that collected the payment regarding its refund policy.
Optional and Additional Services
Fees for optional or separately purchased services—including document retrieval, replacement documents, medical support statements, allotment-increase evaluations, dispensary changes, expedited processing, or similar administrative services—are governed by the terms displayed when the service is purchased.
Completed optional services and administrative processing fees are non-refundable.
Duplicate or Incorrect Charges
If you believe you were charged more than once for the same service or charged an incorrect amount, contact Patient Support promptly. Verified duplicate or erroneous charges will be corrected or refunded to the original payment method.
Refund Requests
To request a refund, contact CannaHealrx Patient Support at info@CannaHealrx.com and provide:
• The patient’s full legal name;
• Date of birth;
• Appointment date;
• Email address and telephone number used for the booking;
• Transaction or confirmation number, if available; and
• The reason for the request.
Submitting a request does not guarantee approval. CannaHealrx may review appointment, communication, payment, and certification records to confirm eligibility.
Approved refunds are returned to the original payment method. Processing times vary by financial institution and may take approximately 5–10 business days after approval.
Chargebacks and Payment Disputes
Patients should contact CannaHealrx Patient Support before initiating a chargeback or payment dispute so that the matter can be reviewed and resolved.
Submitting a chargeback for a completed evaluation or approved certification does not change the terms of this policy. CannaHealrx may provide appointment, communication, certification, and transaction records to the payment processor when responding to a dispute.
Fraudulent chargebacks or payment disputes will result in medical card or medical evaluation cancellation or suspension.
No Guarantee of Certification or Third-Party Acceptance
Scheduling an appointment does not guarantee that a patient will qualify for or receive a medical cannabis certification. Approval remains entirely within the independent clinical judgment of the healthcare provider.
Certification also does not guarantee acceptance by a state agency, dispensary, pharmacy, employer, court, law-enforcement agency, or any other third party.
Policy Acceptance
By booking an appointment, submitting payment, or receiving services through CannaHealrx, the patient confirms that they have read, understood, and agreed to this policy.
CannaHealrx reserves the right to update this policy. The policy in effect on the date of purchase will generally govern the transaction unless applicable law requires otherwise.
